Privacy Policy

1. Who we are

CaesarHire is a personal job-search agent operated by Friars Technologies Limited ("we", "us", "our"), a company registered in England and Wales whose registered address is Unit A, 82 James Carter Road, Mildenhall, IP28 7DE, United Kingdom. We are the data controller for personal data processed in connection with CaesarHire. We are registered with the UK Information Commissioner's Office as a data controller under reference ZC161465. 2. What we collect

Almost everything we hold about you is something you gave us on purpose:

• Your email address, and the name you give your agent.
• Your CV, and the facts drawn from it and from your interview that you confirm as true: jobs, achievements, skills, qualifications, languages, interests, right to work, and what you want next.
• Your search plan: target roles, pay expectations, locations, and working pattern.
• Your activity in the product: the roles you were shown, the decisions you made and the reasons you gave, your applications and their stages, and the documents written for you.
• Practice sessions: your typed and spoken answers, and for a video practice interview the transcript of the conversation. We do not record video or audio.
• Recruiter emails that you choose to forward to your CaesarHire address.
• If you install the browser extension: the content of an application page you explicitly ask it to help with, and the answers you save. It does not read your browsing history or any page you have not asked about.
• Basic technical data needed to run and protect the service, such as logs and the network address a request came from.

3. What we use it for

We use your data to run the service you asked for: to find and score jobs against your plan, to write CVs, cover letters and interview preparation from the facts you confirmed, to track your applications, to interpret recruiter replies you forward, to run practice interviews and write your feedback, and to email you the roles your agent found. We also use it to keep the service secure and working, to answer your support requests, and to meet our legal obligations.

We also use it to make CaesarHire better, which is set out in full in the next section. We do not sell your personal data. We do not share your CV or your profile with employers or recruiters: you apply yourself, in your own name, and only to the jobs you choose.

4. AI, and how CaesarHire gets better

CaesarHire uses AI providers to read job adverts, write your documents, and run practice interviews. Those providers process your information on our instructions and only to deliver the feature you asked for. Every request we send to OpenAI carries the store: false flag, and neither OpenAI nor Anthropic uses our API traffic to train their own models. The video practice interviewer is provided by a third-party service; we create those calls with recording switched off.

The other half of that is us. Every search that works, every cover letter that gets a reply and every interview answer that lands teaches us something about what actually gets people hired, and we use that to make the product better for you and for everyone who comes after you. So you agree that we may use the information described in this policy, including your profile, your documents, your practice sessions and what happened with your applications, to analyse, improve, test, develop and train the systems behind CaesarHire, including our AI and machine-learning models. That is part of what you get for using it, and we do not owe you a payment or a share of anything it leads to.

We do it carefully. Wherever training or analysis does not need to know who you are, we strip out the parts that identify you first, and we never publish your CV, your answers or your documents, or hand them to another user. The model providers we use do not train their own models on what we send them.

If you would rather we did not use your information this way, say so and we will stop: email [email protected] and it costs you nothing else about the service.

5. Lawful basis (UK & EU GDPR)

We process your personal data to perform our contract with you (running the service you signed up for); on the basis of our legitimate interests in keeping CaesarHire secure and reliable and in analysing, developing, training and improving the systems behind it, including our AI and machine-learning models; and on consent where we ask for it, such as non-essential cookies. Where we rely on legitimate interests we have weighed them against your rights and concluded that improving a product people rely on to find work, without publishing or selling anything about them, is a fair use of what we already hold. You can object to processing based on legitimate interests, and withdraw consent, at any time.

6. Sharing

We share data with service providers who process it on our instructions: hosting, email delivery, AI providers, and the video interview service. They act only on our instructions and are required to protect your data. We will share our full list of sub-processors on request. We may disclose data where the law requires it or to protect our rights, safety or property.

7. Where your data is held

Your CaesarHire data is stored and backed up in the European Union, in Amsterdam. Some of our service providers, including the AI providers and the video interview service, operate in the United States, so information sent to them is processed there. Where data is transferred outside the UK or EEA we rely on the safeguards required by applicable law.

8. Your email

CaesarHire does not ask for access to your email account and cannot read your inbox. Recruiter replies reach your agent only when you forward them to the personal CaesarHire address shown on your pipeline page. Where we access a mailbox of our own using Google APIs, our use of that access follows the Google API Services User Data Policy, including the Limited Use requirements.

9. How long we keep it

We keep your data while your account is active so your agent can do its job. You can clear your profile at any time with start over, delete extension history and saved answers separately, or ask us to delete your account entirely. After an account is closed we delete or anonymise its data, keeping only what we must for legal or accounting reasons.

One honest exception: where information has already been used to train or improve our systems, what the model learned cannot be unpicked from it afterwards. Deleting your account removes your data from CaesarHire, and nothing identifying you stays in what we have learned.

10. Security

Sign-in uses one-time codes sent to your email, and you can set an optional password in settings if you would rather not wait for one. A password is stored only as a bcrypt hash, never as text anyone here can read. Sessions are cryptographically signed, traffic runs over TLS, and every request is scoped to the account it proves. A fuller description is on our security page. No system is completely secure, so tell us immediately if you think something is wrong with your account.

11. Your rights

You have the right to access your data, have it corrected, have it erased, restrict or object to processing, ask for portability, and withdraw consent where processing relies on it. Email [email protected] and we will respond within the time the law allows. You can also complain to the UK Information Commissioner's Office at ico.org.uk.

12. Data protection complaints

If you have a concern about how Friars Technologies Limited handles your personal data, you can make a data-protection complaint by emailing [email protected].

We will acknowledge your complaint within 30 days of receiving it and will investigate and respond without undue delay. We may ask you for information we need to understand your complaint or to verify your identity or authority.

If you remain dissatisfied after our response, you can raise your concern with the Information Commissioner's Office (ICO) at ico.org.uk.

13. Children

CaesarHire is not intended for anyone under 16, and we do not knowingly collect data from children. If you believe a child has given us data, contact us and we will delete it.

14. Changes

We may update this policy. The updated version will appear on this page with a new date at the top, and material changes will be brought to your attention.
