How the CRM, the AI sales agents, and CaesarOne actually work.
Overview
CaesarCRM is three things, and you can use as much or as little of it as you want.

The CRM
The workspace underneath everything else. It is free, it is not a trial, and it does not stop working if you never hire an agent.

AI sales agents
An agent is hired, not configured. You tell it who you sell to and what you sell, connect a mailbox, and it works a batch of prospects on a schedule.
What it does each day
- Finds decision-makers at companies matching your ideal customer profile.
- Verifies the email address before it is used, so it is not sending into the void.
- Researches the person and their company, then writes the email from scratch.
- Sends from your connected inbox, paced through the day.
- Follows up on a cadence, and stops when someone replies or opts out.
- Reads replies, answers them, and works toward a booked meeting.
- Writes every send, reply, and meeting back to your pipeline.
- Emails you a summary each morning.
Steering it
Reply to the agent's daily report in plain English. Change the target customer, adjust the tone, tell it to leave a company alone. Agents are managed from the Agents section in the app, where you can see activity, performance, and what is queued.
CaesarOne
The same sales agent, working inside the CRM your team already uses. It pulls prospects from your records, writes activity back, and updates status where your team already looks — no migration, and no second tool to check.

How it behaves in your CRM
The agent works records that are unworked, and marks them as its own before it starts so nothing is picked up twice. Sends, replies, meetings, and skips are mirrored back as activity, and status only ever moves forward — the agent will not downgrade a stage your team has already advanced.
For Salesforce and Zoho, lead status is driven through your own picklist values rather than fields we add, so the agent moves records through the stages your organisation already uses. CaesarOne is set up with our team rather than self-serve — get in touch and we will connect it with you.
Guardrails
An agent sends email in your name. These limits are on by default, not optional extras.
- It will not email people you already know
- Every prospect is screened against your CRM first. Existing customers, live opportunities, anyone your team has recently spoken to, and anyone who has opted out are skipped.
- It will not send to unverified addresses
- Addresses are checked before use, and a bad address found by any agent is blocked for every agent.
- It will not ramp faster than your domain can take
- New mailboxes warm up gradually, with per-inbox daily caps and a team-wide backoff if reputation dips.
- It will not send without you, if you would rather it did not
- Approval mode queues every email for your review. Turn it off when you trust the writing.

Security and data

- Enforced by the database, so one company's records are never visible to another.

- Passkeys, two-factor codes, recovery codes, and revocable sessions.
- Your data
- Export leads and deals whenever you want. Ask us to delete it and we will.

FAQ
What is CaesarCRM?
A CRM with AI sales agents attached. The CRM is free and works on its own for managing leads, deals, tasks, notes, and pipeline activity. Agents are the paid product: they run outbound, book demos, and keep the CRM updated as they go.
Can I use it as just a CRM?
Yes, and plenty of teams do. The CRM does not stop working, expire, or nag you if you never hire an agent.
What is the difference between a Sales Agent and CaesarOne?
They are the same agent in two places. A Sales Agent works inside CaesarCRM. CaesarOne works inside the CRM you already use — Salesforce, HubSpot, Zoho, or Google Sheets — so you do not have to migrate anything.
Do I need to connect an inbox?
Yes, for agents. An agent sends from a mailbox you connect, and cannot send from an address you have not authorised. The CRM itself works without one, though you lose email tracking.
Will the agent email people we already know?
No. It checks your CRM before contacting anyone and skips existing customers, live opportunities, recent conversations, and opt-outs. This applies to prospects the agent found itself as well.
How much does it cost?
The CRM is free. One agent is $1,000 per month, three are $3,000, and larger programmes start at $7,500. CaesarOne is priced the same. Additional agents are $1,000 each.
Does it guarantee meetings?
No, and be wary of anyone who does. It runs targeted outbound properly — right people, researched emails, real follow-up — which is what creates meetings. It cannot make a weak offer land.
How do I tell the agent to change something?
Reply to its daily report in plain English. Change the target customer, adjust the tone, tell it to stop contacting a company. You brief it rather than configure it.
Where is our data stored?
In the EU, in Amsterdam, backed up daily. One company's records are never visible to another — that is enforced by the database itself, not just by application code. See the security page for the detail.
Can my whole team use it?
Yes. Invite your team into a shared workspace with role-based access. Activity, notes, and pipeline are shared, and changes are recorded against the person who made them.
